About the Role
We are seeking a highly motivated, organized, and experienced professional to serve as the Agent & Office Support Admin for our New Jersey Agents. This role is a hybrid of agent support, office administration, and operational oversight, ensuring a seamless agent experience and efficient office workflow. The ideal candidate will have a strong understanding of real estate operations, excellent communication skills, and the ability to manage multiple responsibilities effectively.
Responsibilities:
- Administrative Support
- Organize meetings, appointments, and calendars for the manager.
- Act as a liaison between the manager, agents, and vendors by handling phone calls, emails, and correspondence.
- Draft, proofread, and organize contracts, proposals, and other business documents.
- Agent Support & Engagement
- Act as the on-site point person for agent inquiries, providing daily workflow assistance and operational support.
- Support agents with transaction management, compliance, and CRM system usage.
- Lead new agent onboarding and conduct training on internal systems, tools, and best practices.
- Conduct research on market trends, competitor activity, and real estate opportunities to support agent marketing efforts.
- Office Administration & Operations
- Maintain office efficiency, including supplies management, office maintenance coordination, and vendor communications.
- Ensure proper documentation and compliance with real estate regulations, contracts, and company policies.
- Assist in the creation and maintenance of property listings across various platforms.
- Coordinate with attorneys, title companies, and insurance providers to facilitate smooth transactions.
- Financial Support
- Manage billing processes, including invoicing MLSs and overseeing collection of deposits or commissions.
- Assist with budgeting and tracking expenses to ensure adherence to financial guidelines.
- Prepare and manage expense reports for review by the manager.

About You
- Must hold a valid real estate license in New Jersey.
- Proven experience in a real estate administrative or office management role.
- Familiarity with real estate workflows, transaction processes, and compliance requirements.
- Proficiency in CRM systems, MLS tools, and other real estate technologies.
