About the Role
The Agent Finance Coordinator role provides essential administrative and operational support to ensure seamless financial processes for agents and internal teams. This position plays a critical part in maintaining accuracy across financial records, managing communication channels, and ensuring that agent-related transactions and inquiries are processed efficiently. This individual will act as the first line of contact for agent finance-related questions, triage inquiries appropriately, and maintain organized and up-to-date financial and transactional data across multiple systems.
Responsibilities:
- Email Triage and Communication Management
- Monitor and manage the Finance inbox daily, categorizing and prioritizing incoming emails.
- Address and route bill.com or other non-commission-related inquiries to the appropriate departments.
- Respond to or escalate wire/check receipt questions from agents promptly.
- Utilize and maintain email tags for each transaction coordinator (TC) and request type to ensure efficient workflow tracking.
- Data and System Updates
- Manage and update agent and team classifications in Total Brokerage (TB) or Skyslope, ensuring accuracy and timeliness.
- Add new agents to TB, inputting split details, team associations, and other relevant configurations.
- Record deposits and wires in the check log, ensuring all incoming funds are properly documented.
- Research unlabeled check deposits.
- Maintain user accounts for the Deposit Link platform in Rhode Island, including additions, deletions, and access level management.
- Payment and Deposit Management
- Confirm and verify wire instructions for incoming and outgoing transactions.
- Process and deposit checks received via email, ensuring all digital and physical documentation is complete.
- Collaborate with team members to reconcile deposits and verify bank activity using bank view access.

- 1 - 3 years of experience in Finance Operations, Accounting Support, or Real Estate Transaction Coordination.
- Strong organizational skills with attention to accuracy and detail.

- Experience in real estate, brokerage operations, or agent support environments.
